Guiding Malia Group's ERP Transformation with SAP 4/HANA
We partnered with Malia Group to architect a digital transformation — shifting from aging systems to an AI-powered, cloud-first ERP infrastructure. Our goal: to secure operational excellence, strategic agility, and long-term growth in a rapidly evolving market.
INSY 431 IT Implementation | January - April 2025
Challenges
-
Aging Infrastructure: Reliance on outdated Oracle E-Business Suite with diminishing support.
-
Operational Inefficiency: Fragmented systems leading to complexity and slow decision-making.
-
External Pressures: Rising inflation, political instability, and competitive tech innovation demanded modernization.
-
Strategic Risk: Lack of AI integration threatened long-term competitiveness.

Objective
To implement a future-proof, cloud-based SAP S/4HANA solution integrated with AI and predictive analytics — enabling Malia Group to automate processes, optimize decision-making, and scale operations across all sectors seamlessly.

01
Strategic Discovery
We evaluated Malia Group’s current digital landscape, identifying urgent needs for modernization, AI integration, and operational agility amid market volatility.
02
Alternatives Assessment
We analyzed three strategic paths:
-
Maintain outdated Oracle infrastructure
-
Upgrade to a higher Oracle version
-
Migrate to a cloud-native SAP S/4HANA ecosystem (recommended)
Each option was weighed based on feasibility, cost, scalability and innovation.
03
Solution Selection
We recommended a full integration to SAP 4/HANA because it
-
Optimizes operations by streamlining workflows and reducing manual interventions
-
Enhance decision-making through real-time data analysis and predictive insights
-
Improves financial management with AI-driven forecasting, risk assessment, and automated reporting
-
Scales efficiency with a flexible cloud infrastructure that adaps to business growth
-
Strenghtens competitive positioning by leveraging AI-powered innovations in supply chain, customer experience, and business intelligence

04
Tailored Implementation Phases
We designed a six-phase SAP deployment plan: from stakeholder alignment to post-go-live strategic optimization — ensuring agility, resilience, and seamless business continuity.
05
Key Success Factors
To ensure a successful SAP S/4HANA transformation at Malia Group, several critical factors were identified and embedded into the project strategy:
1. Strong Change Management & User Adoption
-
Ensure users transition smoothly from Oracle to SAP through communication and training.
2. Strategic Vendor Management
-
Actively manage outsourced implementation to align with business goals and timelines
3. Data Migration & Integrity Quality
-
Migrate clean, validated data and ensure interoperability between systems during transition.
4. Post-Go-Live Support & Internal Capability
-
Build internal expertise and reduce dependency on external SAP consultants.

06
Risk Identification and Mitigation Strategy
Throughout the project, we identified three critical risk areas — operational, financial, and technological — that could impact the success of Malia Group’s SAP transformation.
To proactively address these risks, we integrated targeted countermeasures into the execution plan:
-
Change Management Programs (Kotter’s 8-Step Model):
We recognized that technology alone would not guarantee success. A structured change management program was designed to engage employees early, minimize resistance, build momentum through small wins, and embed the new system into day-to-day operations. -
Financial Governance Tied to ROI Realization:
Beyond tracking implementation costs, we established a governance framework to measure whether the new system delivers real business value — including faster processing times, improved cash flow visibility, and operational cost savings. This ensured that success was defined not just by system delivery, but by measurable financial impact. -
Strict Data Governance to Secure Oracle-SAP Integration:
Knowing that Malia Group’s phased migration meant Oracle and SAP would coexist for a time, we implemented a rigorous data governance approach. This included multi-phase data audits, strict access controls, employee awareness programs, and real-time monitoring to prevent data errors, privacy breaches, and system failures during migration.
By embedding these proactive strategies, we protected the transformation from avoidable setbacks — ensuring a smooth transition, secure operations, and sustained business performance.
